This Promotion of Access to Information Manual (“PAIA Manual”) has been prepared in accordance with Section 51 of the Promotion of Access to Information Act 2 of 2000 (“PAIA”), as amended by the Protection of Personal Information Act 4 of 2013 (“POPIA”).
It applies to Precision Exterior (also trading as A&A Precision Exterior), a private body providing professional exterior cleaning, restoration and protective coating services for residential, commercial and industrial properties.
The purpose of this Manual is to assist members of the public in:
Understanding the categories of records held by Precision Exterior
Knowing how to request access to those records
Understanding their rights under PAIA and POPIA

In accordance with POPIA, Precision Exterior processes personal information for the following purposes:
Responding to quote requests and enquiries
Scheduling, performing and managing exterior cleaning and coating services
Communicating with clients regarding appointments, progress and feedback
Improving our services and website experience
Complying with legal and regulatory obligations
Categories of Data Subjects: Clients, potential clients, employees (if any), suppliers and website visitors.
Categories of Information: Name, contact details, property address, correspondence, and any other information voluntarily provided.
Recipients: Trusted service partners/subcontractors (only where necessary), professional advisers, and authorities when required by law. We do not sell personal information.
Transborder Transfers: Personal information is generally processed within South Africa. Any transfers outside South Africa will only occur with appropriate safeguards.
Security Measures: Reasonable technical and organisational measures are implemented to protect personal information against unauthorised access, loss or damage.

Complete Form 2 (Request for Access to Record of Private Body) as prescribed in the PAIA Regulations.
Submit the completed form to the Information Officer at the contact details provided above (preferably by email).
Provide sufficient particulars to enable identification of the requester and the record(s) requested.
Indicate the form of access required (e.g. inspection, copy, electronic).
State the right the requester is seeking to exercise or protect and why the record is required.

The Information Officer will respond within 30 days (or as extended in terms of PAIA).
Request fee (payable on submission of Form 2): As prescribed by the PAIA Regulations (currently R140 for private bodies – subject to change).
Access fees: Charged for reproduction, search and preparation time in accordance with the official fee schedule published by the Information Regulator.
Personal requesters (requesting their own personal information) are exempt from the request fee.
An estimate of fees will be provided before access is granted where applicable.
